Software and growth systems for small teams

Automate manual data entry between systems

The same customer or order gets typed into several systems, and small differences turn into follow-up work. Automating the transfer can help, but only after deciding which record is authoritative and how mistakes will be corrected. I build data-entry workflows that preserve context and leave uncertain matches for review.

Discuss this project

Automate a workflow — from £1,200 for a bounded scope. Requirements and acceptance checks determine the quote.

What the finished solution should accomplish

Reduce repeated data entry with validated transfers, explicit field ownership and a review process for records that cannot be matched confidently.

What this could look like in practice

An accepted order could populate an operations system from the sales record. Matching on a stable customer identifier is safer than matching on a name alone. A changed address, duplicate company name or missing required field should produce a visible review item instead of silently overwriting the destination.

Decisions to make before building

Begin with a sample of ordinary records and known exceptions. Map required fields, formats and update direction. Decide whether existing records can be overwritten and which changes require approval. Include backfill and reconciliation in the scope, because transferring new records correctly does not automatically repair the inconsistencies already present.

When a simpler option is enough

Bulk imports, native connectors and structured forms may remove enough typing without custom code. If the process handles only a few records a month, a clearer checklist could be cheaper. A bespoke workflow is worth exploring when repeated entry is frequent, errors are costly or the mappings contain business-specific rules.

An initial scope could include

  • Field mapping and ownership rules
  • Validated transfer and review queue
  • Backfill plan, reconciliation and operating guide

How we would check the work

  • Test duplicate names and missing identifiers
  • Retry without creating a second destination record
  • Correct an error and confirm the intended update direction

Can AI read the information from emails or PDFs?

Sometimes, but extraction introduces another source of uncertainty. The workflow should validate the extracted fields, preserve the source and route ambiguous cases to review. A structured form or supported API is preferable when available.

Scope, ownership and working together

You work directly with Joel from discovery through implementation. We agree the outcome, exclusions and acceptance checks before a build. You receive access to the code, deployment and handover documentation. Hosting, third-party services and ongoing support are identified separately; owning the code does not make operating costs disappear.

Automate a workflow — from £1,200 for a bounded scope. Requirements and acceptance checks determine the quote. Permissions, migration, source-system access and the number of workflows affect scope. Hosting, maintenance and further milestones are agreed separately. Smaller extensions to existing infrastructure can receive a smaller quote.
