Software and growth systems for small teams

Business workflow automation development

A process can be repetitive without being safe to automate blindly. Someone checks an order, notices an exception and asks the right colleague before anything moves forward. I help small teams separate the predictable steps from the judgement calls, then automate the routine work with an exception queue people can actually manage.

Discuss this project

Automate a workflow — from £1,200 for a bounded scope. Requirements and acceptance checks determine the quote.

What the finished solution should accomplish

Automate repetitive business workflows with clear triggers, human approval where needed and a visible record of what happened at each step.

What this could look like in practice

An enquiry could be checked for required information, assigned to the correct team and followed up if it remains unanswered. Requests outside the rules would go to review instead of receiving an inappropriate automatic response. This is a workflow example; its rules would be agreed with the people responsible for the process.

Decisions to make before building

Map one real transaction from start to finish, including the delays and manual checks. Identify the trigger, the owner and the conditions that stop the workflow. Establish how staff pause a run, correct a record and retry a failed step. Avoid automating a process whose rules change every time someone explains it.

When a simpler option is enough

Start with built-in reminders, templates and native automations. A documented checklist may solve an inconsistent process more cheaply than code. Custom development makes sense when work crosses systems, exceptions need an interface or failures have a meaningful operational cost.

An initial scope could include

  • Process map and exception rules
  • Automated steps and human review points
  • Run history, alerts and operating instructions

How we would check the work

  • Test an ordinary request and each agreed exception
  • Pause and resume without repeating completed actions
  • Confirm the process owner receives a failure alert

Will this remove the need for staff to review requests?

Only for steps with rules you can state and test. Ambiguous requests and material decisions should stay with the appropriate person. The aim is to remove repetitive handling so that review time goes to the cases that need it.

Scope, ownership and working together

You work directly with Joel from discovery through implementation. We agree the outcome, exclusions and acceptance checks before a build. You receive access to the code, deployment and handover documentation. Hosting, third-party services and ongoing support are identified separately; owning the code does not make operating costs disappear.

Automate a workflow — from £1,200 for a bounded scope. Requirements and acceptance checks determine the quote. Permissions, migration, source-system access and the number of workflows affect scope. Hosting, maintenance and further milestones are agreed separately. Smaller extensions to existing infrastructure can receive a smaller quote.
